How to book a mobile cinema event with community cinemas
The Venue that wants to book calls or emails us to book a cinema event for the preferred date and time. (We take bookings as far in advance as required, this is very common.)

We confirm film choice and date with customer. There will usually be a choice of films available depending on the time of year and what new films are currently available or due to come out if booking well in advance. We usually screen films 1 month after the main stream cinema release.We ask for the completion of our booking form to confirm the booking. A deposit will also be required to secure the booking.

The customer promotes the event where the cinema event will be taking place. The customer will also decide on the refreshments and prepare these in advance of the day (if applicable). Please ask for advice of ideas if unsure as there are numerous scenarios to consider.

We will contact you usually a week before the event and confirm film timings and our arrival time. We arrive on the desired day usually 1 hour before the doors are due to open to get the cinema set up and the venue transformed. We will put the venues chairs out and assist the customer in anyway possible to ensure the event runs smoothly and successfully.

In the lighter months (April – September) it is the responsibility of the venue to ensure it can be made dark so forward planning essential as cinemas need to be dark. (i.e. blacking out windows if necessary)

When the doors open, usually 30 minutes before the film is due to start, the venue can begin to sell refreshments.

We do not screen trailers but we will have an interval about half way through for the venue to sell refreshments, do a raffle and have a toilet break.

Booking well in advance is advisable due to the demands for this quality service. We usually take bookings 12 months in advance however we can not commit to film choices at that time.

Our dedicated staff are on hand to assist you in anyway possible throughout the whole screening. The equipment Is always manned from start to finish to monitor sound levels etc and ensuring everything runs smoothly.
As we are sure you are aware, all films shown in Britain are reviewed by the British Board of Film Classification who set age restrictions on films to prevent young people from viewing inappropriate films. These categories carry legal responsibilities and you must ensure that they are complied with e.g. a 12 yr old must not be sold a ticket to a film with a 15 classification.
Selling Tickets and Marketing the Event

Once we have confirmed your booking we will produce and send tickets to you for you to sell (where applicable) we will also produce a custom made poster/flyer and e-mail them to you (Example Poster). Changes are always welcome and we will adjust it to suit you and your event.

At all times it will be the responsibility of the organiser to sell tickets and promote the event (where applicable).
There are many ways you can promote your movie event. Here are just a few ideas for venues fundraising.
Spread excitement by displaying the cinema posters around the venue prior to the event. The sooner the better. You can advertise before its main release at multiplexes.
Let’s Talk Books leaflets are an excellent way of creating the buzz before the event.
You could even hand out movie posters or notices to get the kids talking or get them to design their own? Distribute them weeks before the event to ensure parents can plan well in advance.

Personalised letters to the parents explaining why you need their help, or explaining how the school can benefit is a great way of making parents feel a part of the movie event and feel valued.

Contact your local newspaper – they’ll love to hear what your school is doing and this would bring in some more people.

Open your doors to the entire community, you’ll be amazed at the interest.

Use flyers and notice boards to advertise
An advert in the local shop window and give the paperboy/girl a leaflet to drop off on their rounds

Spreading the excitement about your movie event is a sure way to increase attendance among the children, teachers, families and the surrounding school community. Fancy dress or themed events for example. “The giant screen is coming”

Getting more people to attend results in higher sales of tickets and refreshments alike.
